User Defined Specification Fields (Custom Data)

Specification Data Forms

This page explains how to use the Forms tab in the Specification Data Field Editor to manage which forms include a specification field. This is the quickest way to ensure a new or existing specification field appears on the correct asset editor forms.

Viewing the Forms Tab

  1. Navigate to Admin > Custom Fields (Specification Data).
  2. Click the field name to open the editor.
  3. Switch to the Forms tab.

The Forms tab shows two lists:

  • Forms that include this field -- forms where this specification field already appears as an editable field.
  • Compatible forms -- forms where this field could be added but is not yet included. These are forms whose subject and category match the field's table and category restrictions.

Adding the Field to Forms

To add the specification field to one or more forms:

  1. In the Compatible forms section, click the Add link next to the form you want to include the field on.
  2. The field is added to the end of the form's field list.
  3. Repeat for each form where the field should appear.
  4. Optionally, open the form editor to adjust the field's position, size, and other display properties.

Removing the Field from Forms

To remove the specification field from a form:

  1. In the Forms that include this field section, click the Remove link next to the form.
  2. The field is removed from that form immediately.

Warning: Removing a field from a form does not delete any data stored in the field. Users will no longer see the field on that form, but the data remains in the database and can be accessed via queries or by re-adding the field to a form.

Editing a Form

Click a form name in either list to open it in the Form Editor, where you can adjust the field's position, width, and other display properties.

Tip: After adding a specification field to a form via the Forms tab, open the form editor to position the field in the right location. By default, newly added fields appear at the end of the form, which may not be the most logical placement for users.
