Transfers

Transfers move assets between locations, cost centres, companies, or departments. xAssets provides two types of transfer depending on whether financial tracking is required. This page explains when and how to use each type.

Transfer Types

Type When to Use What It Does
Asset Transfer Change the Company, Location, or Cost Centre -- typically for corrections or moves with no financial impact Updates the classification fields on the selected assets. No financial transactions are created.
Department Transfer Move assets between departments where the move has financial implications (e.g., inter-departmental charge-back) Updates the classification fields and creates financial transactions to record the transfer for accounting purposes.

Tip: If the move has financial implications (e.g., charge-back between cost centres), always use Department Transfer rather than a simple Asset Transfer. Department Transfer creates the financial transactions needed for your accounting records.

How to Transfer a Single Asset

  1. Open the asset in the editing screen.
  2. Change the relevant field (Location, Department, Cost Centre, or Company) directly.
  3. Click OK to save.

This approach is suitable for simple corrections or single-asset moves where no formal transfer record is needed.

How to Transfer Multiple Assets (Bulk Transfer)

  1. Select one or more assets in any results screen. See Selecting Assets.
  2. Open the Actions on Selected Records menu.
  3. Choose Asset Transfer or Transfer to a Different Department:

  1. In the dialog that appears, select the target Location, Cost Centre, Department, or Company.
  2. Click OK to execute the transfer. All selected assets are updated.

Choosing the Right Transfer Method

What Transfers Record

  • Asset Transfer updates the classification fields and records the change in the asset's history log. The old and new values are both visible in the History tab.
  • Department Transfer does everything Asset Transfer does, plus creates financial transactions (debit and credit entries) to record the accounting impact of the move.

Warning: Department Transfers create financial transactions that may affect your organisation's accounting records. Ensure you have the correct target department and any required approvals before executing a department transfer.

Tip: For large-scale moves (e.g., an office relocation), use the Asset Transfer method on a filtered set of records. Filter by the old location in the tree, select all, and transfer to the new location in one operation.
