How to Export Query Results to Excel

Any query result in xAssets can be exported to Excel, PDF, or CSV format. This guide explains how to export data from the results screen.

Steps

  1. Navigate to the query whose results you want to export. For example:

    • Asset List for a general asset inventory
    • Licensing > Licensing Position for licence compliance data
    • Any custom query or dashboard query
  2. If needed, filter the results before exporting:

    • Use the Search box to narrow results by keyword.
    • Click a tree node on the left to filter by category, location, or department.
    • Apply any column sorting by clicking column headers.
  3. Locate the View and Export button in the top-right corner of the results screen.

  4. Click View and Export to open the export options.

  5. Select Excel from the available export formats. Other options include:

    • PDF -- generates a formatted printable report
    • CSV -- comma-separated values for import into other tools
  6. The export file downloads to your browser's default download location.

What Gets Exported

  • The export includes all records in the current result set, not just the records visible on the current page.
  • The columns in the export match the columns configured for the query.
  • If you filtered the results using the tree or search, only the filtered records are exported.
  • Column sorting is preserved in the export.

Exporting Large Datasets

For very large result sets (tens of thousands of records):

  • The export may take a moment to generate. Wait for the download to complete before opening the file.
  • If the export times out or fails, try narrowing the results with a tree filter or search first, and export in smaller batches.

Tips

  • If you need to export specific columns that are not in the current query, ask your administrator to create a custom query with the columns you need. See How to Create a Report.
  • To schedule regular exports automatically, consider setting up a transformation that runs on a schedule and outputs to a file. See the Configuration Guide -- Transformations.
  • The PDF export uses the report design configured for the query (if one exists). If no report design is configured, a default tabular layout is used.
  • CSV exports are useful when importing data into other systems or performing analysis in tools other than Excel.
