How to Move an Asset to a Different Location

Moving an asset to a different location updates the asset record to reflect its new physical placement. xAssets provides several methods depending on whether you are moving one asset or many, and whether the move has financial implications.

Method 1: Edit the Asset Directly (Single Asset)

Use this method for a quick correction or a simple single-asset move.

  1. Find the asset using the Search box in the toolbar, or navigate to it through a query.

  2. Click the asset's blue description link to open it in the editing screen.

  3. Locate the Location field on the asset form.

  4. Change the Location to the new value by selecting from the drop-down list or typing to search.

  5. Click OK to save. The change is recorded in the asset's History tab.

Method 2: Asset Transfer (Multiple Assets)

Use this method to move a group of assets to the same new location in one operation. This method does not create financial transactions.

  1. Navigate to a query that shows the assets you want to move (e.g., Asset List).

  2. Select the assets to transfer. You can:

    • Click individual rows while holding Ctrl to select specific assets.
    • Click one row, then Shift+Click another to select a range.
    • Press Ctrl+A to select all visible records.
  3. Open the Actions on Selected Records menu (in the toolbar).

  4. Choose Asset Transfer.

  5. In the transfer dialog, select the new Location from the drop-down.

  6. Click OK to execute the transfer. All selected assets are updated to the new location.

Method 3: Department Transfer (With Financial Tracking)

Use this method when the location move also involves a change in financial responsibility (e.g., moving equipment between cost centres with charge-back).

  1. Select the assets as described in Method 2.

  2. From the Actions on Selected Records menu, choose Transfer to a Different Department.

  3. In the dialog, select the new Location, Department, or Cost Centre as appropriate.

  4. Click OK. The system updates the classification fields and creates financial transactions to record the accounting impact.

Method 4: Drag and Drop (Visual Reclassification)

If the results screen shows a Location tree on the left:

  1. Select the assets you want to move in the results table.

  2. Drag the selected assets onto the target location node in the tree.

  3. The assets are reclassified to the new location immediately.

Tips

  • For large-scale moves (e.g., an entire office relocation), filter the results by the old location first, select all, then use Asset Transfer to move them in one operation.
  • If the move involves financial implications, always use Department Transfer rather than a simple Asset Transfer.
  • The change is recorded in the asset's History tab, so you can always see when and where an asset was moved.
