Assigning an individual to a Work Centre

This page explains how to assign individuals to work centres so they can receive and act on work orders assigned to their team.

Why Assign Individuals to Work Centres?

Each work centre should contain the individuals who have the relevant skills to carry out the work assigned to it. When a work order is assigned to a work centre, any member of that centre can pick up and complete the task. This provides flexibility — if one team member is unavailable, another can handle the work.

How to Assign an Individual

  1. Navigate to Classification > Custodians (Fixed Assets) or Assets > Custodians (IT Asset Management).
  2. Find and open the custodian record for the individual you want to assign.
  3. Set the Work Centre field to the appropriate work centre.
  4. Save the custodian record.

The individual now appears as a member of that work centre and can view and act on any work orders assigned to the centre.

Key Points

  • An individual can belong to one work centre at a time. If a person needs to work across multiple centres, assign them to the most relevant one and use manual assignment for exceptions.
  • The individual must have a Custodian record in xAssets. If they do not have one, create it before assigning them to a work centre.
  • When Task Assignment Rules assign a work order to a work centre, you can also specify an initial assignee — the specific person within the centre who should handle the task first.

Practical Example

A facilities team has three technicians: Alice, Bob, and Carol. All three are assigned to the "Facilities" work centre. When a work order for HVAC filter replacement is generated and assigned to the Facilities work centre, all three technicians can see it. Alice picks it up and completes the work. Bob and Carol continue with their other tasks.

Tip: Use the Service Management Dashboard to monitor workload distribution across work centre members, ensuring tasks are spread evenly.

Removing or Changing an Assignment

To move an individual to a different work centre, or to remove them from a work centre entirely:

  1. Open their custodian record.
  2. Change the Work Centre field to a different work centre, or clear it to remove the assignment.
  3. Save the custodian record.

Changing a work centre assignment does not affect work orders that have already been assigned to the individual — only future automatic assignments are affected.

Verifying Work Centre Membership

To see all individuals currently assigned to a work centre, navigate to the Work Centre Hierarchy and select the work centre. The members are listed under the work centre's details.
