Spares and Storage Overview

The Spares and Storage module manages assets that are not currently in active service -- items held in reserve, spare parts inventory, and equipment temporarily taken out of service. From here you can move assets into storage, deploy them back into service, and track spare part quantities.

Why Track Storage and Spares

  • Avoid unnecessary purchases -- know what equipment you already have in reserve before ordering new items
  • Speed up deployments -- when a user needs a replacement, find available stock immediately
  • Financial accuracy -- assets in storage still have book value and should be tracked
  • Audit compliance -- account for every asset, whether in service or in storage

Accessing the Module

All functions are available from Asset > Storage, Spares and Library:

You can also access category-specific storage management from the relevant dashboards:

  • Desktop > Desktop Dashboard > Spares and Storage
  • Server > Server Dashboard > Spares and Storage
  • Asset > Asset Inventory Dashboard > Spares and Storage

Key Functions

Moving an Asset into Storage Take an asset out of active service and place it in storage
Deploy Assets from Storage Return a stored asset to active service at a specific location
Spare Parts Track spare part quantities and deploy individual parts

Storage vs. Spare Parts

Concept What It Tracks Example
Assets in Storage Full assets temporarily out of service, each with a unique record A laptop returned by a departing employee, awaiting redeployment
Spare Parts Consumable or interchangeable items tracked by quantity A box of 10 keyboards, or 5 replacement hard drives

Tips

  • Keep storage locations accurate -- when you physically move stored assets, update their location in xAssets
  • Review assets in storage quarterly to identify items that should be disposed of rather than held indefinitely
  • Use spare parts tracking for items where you care about quantity rather than individual serial numbers
