Asset Images

xAssets can automatically display a product image for each asset based on its make and model. When you open an asset record, a representative image of the device appears on the editing screen, making it easier to visually identify the type of equipment without needing to visit the asset in person.

How Automatic Asset Images Work

The system uses a built-in image library that maps manufacturer and model names to product photographs. When an asset record has a recognised Manufacturer and Model combination, the corresponding image is displayed automatically in the asset editing screen.

The image appears in the header area of the asset form, alongside the asset description and key fields. No manual upload is required for recognised models.

Where Images Come From

Automatic asset images are sourced from a curated library maintained as part of the xAssets product. The library covers a wide range of common IT hardware from major manufacturers including:

  • Desktops and laptops -- Dell, HP, Lenovo, Apple, Microsoft Surface, and others
  • Servers -- Dell PowerEdge, HP ProLiant, and others
  • Monitors -- Dell, HP, LG, Samsung, and others
  • Network devices -- Cisco, Juniper, and other major network equipment manufacturers
  • Printers -- HP, Canon, Brother, Lexmark, and others
  • Mobile devices -- Apple iPhone, Apple iPad, Samsung Galaxy, and others

The library is updated with new models in each product release. If a particular make/model combination is not in the library, no image is displayed and a placeholder or category-level icon is shown instead.

Matching Rules

The system matches images based on the following logic:

Priority Match Type Example
1 Exact make and model Manufacturer = "Dell", Model = "Latitude 5530"
2 Make and model family Manufacturer = "Dell", Model contains "Latitude"
3 Category default Category = "PC - Laptop" with no specific model match

If discovery has populated the Manufacturer and Model fields, the image appears automatically without any user action.

Overriding the Automatic Image

You can replace the automatic image with a custom photograph for any individual asset:

  1. Open the asset in the editing screen
  2. Navigate to the Images and Documents tab
  3. Upload a photograph of the specific asset
  4. Mark the uploaded image as the primary image for the asset

Once a custom primary image is set, it takes precedence over the automatic image from the library. This is useful for:

  • Assets that have been physically modified or customised
  • Assets with visible damage that should be documented
  • Non-IT assets where the automatic library does not have coverage
  • Situations where the exact variant of a model needs to be distinguished

To revert to the automatic image, remove the custom primary image from the Images and Documents tab.

Tips

Tip: Automatic images work best when discovery data is accurate. If an asset shows an incorrect image, check the Manufacturer and Model fields on the asset record -- they may contain unexpected values from discovery.

Tip: For assets not covered by the automatic image library (e.g., furniture, vehicles, or custom equipment), upload a photograph manually using the Images and Documents tab. See Attaching Images and Documents to Assets.

Tip: The automatic image feature is purely visual and does not affect asset data, reports, or queries. It is designed to improve the user experience when browsing and editing asset records.
