Due for Disposal

Assets can be flagged with a future disposal date so you can plan retirements in advance. When the disposal date approaches, the asset automatically appears in disposal planning reports, giving you time to arrange replacements, data wiping, and physical collection.

Setting a Disposal Due Date

To schedule an asset for future disposal:

  1. Open the asset in the editing screen (click the asset's blue description link in any results view).
  2. Locate the Disposal Due field. This is typically on the main Edit Asset form or in the Organisation section.
  3. Enter the date by which the asset should be disposed of.
  4. Click OK to save.

You can also set disposal dates in bulk using Bulk Update -- select multiple assets and set the Disposal Due field for all of them at once.

Viewing Assets Due for Disposal

Assets appear in the Due for Disposal report approximately 90 days before their scheduled disposal date. Access this report from the Disposal and Obsolescence tab on the Asset Inventory Dashboard:

The report shows the asset description, category, location, custodian, and the disposal due date, allowing you to prioritise which assets need attention first.

Using Disposal Planning Effectively

Practice Benefit
Set disposal dates when assets are procured Aligns with expected refresh cycles (e.g., 3- or 4-year PC replacement)
Review the Due for Disposal report monthly Ensures timely replacement planning and budget forecasting
Combine with warranty end dates Assets out of warranty are often candidates for disposal
Use bulk update after a hardware refresh decision Quickly schedule an entire category or location for disposal

Tip: The 90-day window for the Due for Disposal report is configurable by administrators. If your organisation needs a longer or shorter planning horizon, ask your administrator to adjust the query.

Tip: Setting a disposal due date does not dispose the asset. The asset remains active and in service until you explicitly dispose of it. The date is purely for planning purposes.
