Query Results Display
After running a query, clicking a tree node, or performing a search, the main screen displays the matching asset records. This page explains what you see in the results area and how to work with the data that is returned.
How Results Are Displayed
When you run a query or click a tree node, the system executes the underlying query and displays matching records in a tabular format. The results area occupies the centre of the screen, with a tree panel on the left (if applicable) and toolbar controls along the top.

What the Results Show
Each row in the results represents one asset record. The columns displayed depend on the query that was run -- different queries show different columns. Common columns include:

| Reference | The unique asset reference number |
| Description | A text description of the asset |
| Category | The asset type (e.g., PC - Desktop, PC - Laptop, Server) |
| Location | Where the asset is physically located |
| Custodian | The person responsible for the asset |
| Status | The current lifecycle status (e.g., In Service, In Storage) |
| Serial Number | The manufacturer's serial number |
Working with Results
From the results screen you can:
- Open an asset for editing -- click any blue link (typically the Description column) to open the Edit Asset dialog.
- Sort the results -- click any column header to sort ascending; click again to sort descending.
- Select records -- click a row (on any non-link area) to select it. Use Ctrl+Click or Shift+Click to select multiple records. See Selecting Assets for full details.
- Perform bulk actions -- with records selected, use the Actions on Selected Records menu to transfer, dispose, bulk-update, or export the selected assets.
- Filter by tree node -- click a node in the left-hand tree to narrow results to that classification and its children.
- Export data -- click View and Export in the top-right corner to download the results as Excel, PDF, or CSV.
- Page through results -- use the paging controls at the bottom of the screen. Large result sets are paged automatically to maintain performance.
Tip: If a query returns more records than expected, use the tree panel to narrow the results. Clicking a tree node filters the displayed records to only those matching that node. Click "All Items in Query" at the top of the tree to remove the filter.
Tip: The columns shown, their order, and the default sort are all configurable by administrators. If you need a column that is not visible, ask your administrator to add it to the query. See the Configuration Guide for details.
